GENERAL SUMMARY OF POSITION:

The Healthcare National Program Assistant is responsible for supporting our National Healthcare Market Sales Leader by providing administrative, clerical, and customer support. This role is responsible for a variety of administrative and clerical tasks, ensuring smooth day-to-day operations and contributing to the overall efficiency of the National Healthcare Program. Plan, organize, and execute tradeshows.

CORE & ESSENTIAL TASKS:

  • Create a comprehensive plan for trade shows, including objectives, budget, timeline, and logistics

  • Collaborate with designers to create an engaging and functional booth, managing booth setup and takedown, and coordinate equipment rentals

  • Organize and maintain all trade show displays, materials and premiums.

  • Create and manage budgets for each show, including venue costs, marketing expenses, booth construction, and other associated costs

  • Negotiate contracts with vendors for booth space, equipment, and other services. 

  • Keep list of shows organized, including marketing, attendees, and budget

  • Proactively handle any arising issues and troubleshoot any emerging problems regarding these events up to and through the actual event

  • Manage Sales Leader’s complex calendar, including scheduling and prioritizing appointments; trouble shoot scheduling challenges; scheduling meetings, conferences, teleconferences, and travel. This includes long-range planning as well as juggling frequent last-minute changes and coordinating with internal and external constituents

  • Participate in customer meetings and support the execution of follow-up actions and requests

  • Provide high-quality customer service by means of phone calls, emails, and/or in-person meetings

  • Assist in the preparation of reports and other documents

  • Maintain confidentiality while handling sensitive or proprietary information

  • All other duties as assigned

QUALIFICATIONS AND SKILLS:

Possession of at least a high school diploma or equivalent is required, and a post-secondary degree is preferred. In lieu of a degree, a comparable combination of education, job specific certification(s), and experience (including military service) may be considered. Experience as an Administrative Assistant, Office Assistant, or a similar role is preferred. Demonstrated aptitude for problem-solving; ability to determine solutions. Possesses strong organizational and time management skills. Must be results-orientated and able to work both independently and within a team environment. Must work effectively with divergent types of people. Must possess excellent verbal and written communication skills. Proficiency in using Microsoft Office Suite applications and contact management software. Adherence to health and safety regulations (e.g. use of protective gear). Driving is a requirement for this position. Therefore, must have the ability to travel domestically via operating a motor vehicle and maintain a valid driver license and driving record which is acceptable to our insurance provider. Must have a vehicle in good working condition and ensure it meets all safety, insurance, and legal requirements. Must have the ability to travel by plane, operate a motor vehicle, maintain a valid state motor vehicle driver license, and maintain an acceptable motor vehicle driving record. Ability to work a flexible that includes travel on evenings, weekends, and overnight.

PHYSICAL REQUIREMENTS:

Ability to communicate orally in a clear, concise and effective manner. Ability to use a telephone for communication. Maintaining regular predictable and punctual attendance at assigned job locations is essential. Ability to establish and maintain effective working relationships with others. Use office equipment such as a personal computer, copier and facsimile machines. The ability to sit, stand, and/or walk for extended time periods. Hearing and vision required to be within normal ranges. The ability to read at, above, and below shoulder height. Occasionally stoop, kneel or crouch. Ability to accurately distinguish color variation. Sufficient manual dexterity required to operate equipment and office tools. Overnight travel may be required. Ability to occasionally work evenings, weekends, and overnight travel required.
